Boston-Power, Inc. is currently seeking a personable, reliable and professional Administrative Assistant and Receptionist to support our fast-paced organization. Based in our corporate headquarters in Westborough, MA and reporting to our Executive Administrator, you will be responsible for a wide variety of secretarial, clerical, and coordination duties. The ideal candidate will be flexible and able to support any department that may have an administrative need. You will work with talented and motivated people across several business disciplines and will transition seamlessly between individual and team-based assignments. RESPONSIBILITIES:

·         Greet guests to our facility in a professional and welcoming manner;

·         Schedule meetings, candidate interviews, and coordinate travel arrangements;

·         Receive and transfer phone calls, sort and deliver mail;

·         Receive deliveries and update financial database to ensure accurate tracking of materials;

·         Generate purchase orders and route appropriately in our electronic Finance system;

·         Ensure office environment is well maintained, including straightening conference rooms, cleaning white boards, stocking refrigerators, making coffee, and running dishwasher;

·         Team with other Administrative Support staff to organize company events and balance workloads of team members;

·         Enthusiastically accept new responsibilities as needs arise.

 

REQUIREMENTS:

 

·         3-5 years of Administrative Support experience in a professional environment required;  

·         Strong organizational skills, including attention to detail and the ability to maintain accuracy and timeliness in the face of competing priorities;

·         High skill level with MS Office products required, particularly Outlook, Word, Excel, and PowerPoint;

·         Experience supporting a Human Resources and/or Finance department is a strong plus;

·         Experience supporting employee expense reports and/or purchase orders is a strong plus;

·         Ability to work overtime when required;

·         Ability to work well with a wide range of people, under pressure and on deadline, and adapt to changing situations on a daily basis;

·         High energy, self-motivated and service-oriented attitude;

·         Must be able to work independently and as part of a team in a fast paced, high intensity startup environment.
